Office Manager/Facilities Manager

The Museum of Chinese in America is a non-profit institution that engages audiences in an ongoing dialogue, in which people of all backgrounds are able to see U.S. history and society through a critical lens, to reflect on their own experiences, and to make meaningful connections between the past and the present, the global and the local, themselves and others. Through its exhibitions, collections, and programs, MOCA invites people of all backgrounds to explore the diversity and complexity of U.S. history and culture, while gaining unique access to the images, papers, oral histories, and artifacts which document the story.

 

The Museum of Chinese in America (MOCA) seeks an energetic, detail-oriented Office Manager / Facilities Manager reporting directly to the COO/CTO to manage and maintain information technology, bookkeeping and the physical operations of the museum. The person in this position wears a lot of hats, so needs to have top-notch time management and people skills, plus a willingness to take on new responsibilities as needed and a can-do attitude. You will receive training on the essential functions, but any knowledge or experience you bring is a bonus, as long as you are motivated to learn. The position will have many opportunities to take on more complicated tasks in IT/bookkeeping/operations if desired. This is a full-time position that will have occasional late night and weekend work for events, but will receive comp time.

 

Essential Functions:

  • Operations (ordering supplies, fixing things, integration of new staff, physical set up for events, etc.)
  • Bookkeeping (depositing checks, making payments, updating Quickbooks, reporting/reconciliation)
  • IT (basic troubleshooting, computer and account set-up)


Qualifications:

  • Bachelor’s degree or equivalent experience required.
  • Strong project and time management skills, with a proven ability to work on multiple projects simultaneously, and keen attention to detail and deadlines.
  • Excellent team player with ability to work effectively with staff, as well as work well independently.
  • Demonstrated proficiency in Microsoft Office. Tessitura and Quickbooks are big pluses.
  • Experience with a museum or cultural institution preferred.
